Position Title: Personal Assistant: Human Settlements Department

Salary: R371 208.00 – R509 256.00 per annum (basic salary, plus benefits)
Minimum Requirements:
- Grade 12 with a Secretarial Diploma or equivalent qualification
- Proficient in MS Office Suite
- Strong understanding of local government operations, document management, administrative procedures, office governance, and meeting protocols
- Skilled in compiling and formatting professional reports
- Ability to work under pressure and manage multiple tasks
- Excellent communication (verbal and written), organisational, and time management skills
- Minimum of 3 years’ experience in a similar administrative/secretarial role
Key Responsibilities:
- Coordinate activities between Council offices, departments, and other structures related to service delivery
- Perform all administrative tasks to the highest standards, as agreed upon with management
- Identify and resolve queries effectively, escalate unresolved issues where necessary
- Organise and prioritise own daily and routine work responsibilities
- Handle enquiries and complaints for the Head of Department, including collecting information and providing timely feedback
- Organise and manage meetings and workshops, including venue bookings, catering, equipment, and documentation
- Ensure smooth functioning of the Head of Department’s office through effective administrative systems
- Manage incoming and outgoing correspondence in line with file plan and registry procedures
- Draft documents and routine correspondence using various computer applications
- Follow departmental policies, procedures, and SOPs
- Monitor and evaluate own performance and seek feedback to improve output
- Provide additional secretarial, administrative, or clerical support as requested by management
- Foster a work culture based on strong relationships, excellent customer service, and ethical behavior
