Role Overview and Key Responsibilities:
We are looking for a highly organized and proactive individual to support administrative and operational functions within the department. The ideal candidate will play a critical role in ensuring smooth communication, coordination, and execution of key tasks.

Responsibilities Include:

  • Develop and manage effective office systems to enhance day-to-day operations.
  • Serve as the key point of contact between the department and buyers to ensure clear and timely communication.
  • Oversee the upkeep and organization of office supplies and equipment to maintain a productive work environment.
  • Compile and prepare monthly departmental reports to monitor performance and identify improvement opportunities.
  • Coordinate the daily vehicle collection schedule for drivers, ensuring efficiency and punctuality.
  • Manage the driver onboarding process, including orientation and initial training.
  • Oversee the ordering and distribution of departmental uniforms.
  • Handle driver leave requests and overtime planning to ensure staffing efficiency.
  • Prepare supplier payment requisitions and coordinate with the accounts department for timely processing.
  • Track and manage inventory levels at vehicle storage sites to prevent stock shortages and losses.
  • Work closely with transport carriers to coordinate vehicle loading and ensure timely deliveries.
  • Manage time and attendance records and resolve related queries.
  • Liaise with HR and Payroll to address and resolve driver-related concerns.
  • Maintain accurate and up-to-date record keeping for all administrative processes.
  • Provide support with general administrative tasks and ad hoc duties as needed.

Minimum Requirements:

  • Grade 12 (Matric) – essential
  • A relevant diploma or degree in Administration or Logistics – mandatory
  • Minimum of 2 years’ experience in an administrative role
  • Proficient in MS Office (Excel, Word, Outlook)
  • Strong communication and interpersonal skills
  • Ability to handle pressure, prioritize tasks, and meet deadlines
  • Must have own reliable transport and a valid driver’s license
  • Willingness to work every second weekend and on selected public holidays
